Import resident and staffing data

A clean import job with mapped columns, validated rows, and a saved mapping for next time.

Before you start

  • A CSV, XLSX, or text-extractable PDF from your EHR or scheduler
  • Admin or Operations role

Steps

  1. 1

    Choose the source type

    Residents, shifts, or care signals. The source type drives which fields are required and how dates are parsed.

    Upload and preview

    AcuityRow shows the first 25 rows so you can confirm the file parsed correctly before mapping.

    Map columns

    Drag source columns to AcuityRow fields. We pre-fill matches we recognize. Required fields are marked; unmapped optional fields are fine.

    Tip · Save the mapping as a draft if you'll receive this same file format again.

    Validate rows

    AcuityRow runs row-level checks: required fields present, dates parseable, no duplicate resident IDs. Errors appear with the row number and the offending value.

  5. 5

    Import or save draft

    Run the import (errored rows are skipped, not silently fixed), or save the job as a draft to fix the source file and retry.

Common pitfalls

  • Mixing two facilities in one file — split by facility before uploading.
  • Excel cells stored as text vs. number can break date parsing; the preview catches this.
